Compliant waitlist for healthcare clinics

Standby Health notifies waitlisted patients by text or email the moment a slot opens up — HIPAA and Canadian privacy law aligned, with no EMR integration required.

Built for privacy-conscious clinics in the US and Canada

  • HIPAA-aligned
  • Canadian privacy law aligned
  • No PHI in messages

How it works

Three steps from cancellation to confirmed patient.

  1. 1

    Add patients to your waitlist

Front-desk staff enter name, contact info, and date of birth. No patient app or account required.

  2. 2

    Create an opening

When a slot cancels, enter the date and time. Standby Health notifies eligible patients in order.

  3. 3

    Confirm the first request

The first patient to request gets your attention. Confirm once and copy their details into your calendar.

The waitlist that keeps moving

Every patient holds a position on the list. As openings appear, the next eligible patient is notified automatically — no one has to be re-sorted or called manually.

If a patient doesn't claim the slot, or another patient already has, the list keeps moving on its own and everyone stays informed of where they stand.

  • Position #1

    Notified — awaiting response

  • Position #2

Next in line if #1 doesn't respond

  • Position #3

On the list, waiting for the next opening

Built for busy front desks

Standalone utility that fits how clinics already work.

Fill slots in minutes

Stop playing phone tag. Patients get a secure link and can request the slot from their phone.

No EMR integration

Works alongside your existing calendar. Staff manually enter openings and copy confirmed patients over.

Compliant by design

Notifications are generic with a secure link only — no appointment or health details in the message body.

First-come, first-served

Strict ordering and race-condition protection so only one patient can request a given slot.

Frequently asked questions

Everything you need to know before joining the waitlist.

Is Standby Health HIPAA compliant?

Yes. Standby Health is built with HIPAA in the US and the equivalent Canadian privacy legislation (like PHIPA and PIPEDA) in mind — encryption in transit and at rest, audit trails on every action, and no protected health information in patient notifications.

Do patients need to download an app?

No. Patients receive a secure, one-time link and can request an open slot directly from their phone — no account, password, or app download required.

Do you send text messages, emails, or both?

Both. Clinics can notify waitlisted patients by text message or email — the workflow is the same either way, and no health details are ever included in the message itself.

Will this integrate with my EMR or practice management software?

Not today, by design. Standby Health runs alongside your existing calendar with zero setup — front-desk staff manually copy the confirmed patient's details into your system.

Can I sign up or see a live demo?

Provider onboarding and live demos are coming soon. Join the waitlist and we'll reach out as soon as early access opens up.
